Long distance across time zones: find your overlap

In short

List when each of you is genuinely free, convert one list into the other's time zone, and the overlap is your window. For Bengaluru and Toronto that's two hours on Toronto weeknights (early morning in India), an hour at Toronto lunchtime, and long weekend stretches. Anchor each standing call to the clock of whoever has the fixed constraint, and recheck around clock changes: on 1 November 2026 Toronto falls back and the gap to India grows from 9½ to 10½ hours.

On this page

Ananya's 7 a.m. coffee in Bengaluru is Josh's 9:30 p.m. the night before in Toronto. On 1 November it becomes his 8:30 p.m., and nobody in India touched a clock.

That's the whole problem in two sentences. The gap isn't fixed, the day names don't line up, and the window you found in September can quietly move.

Step 1: Write down when you're actually free

Not when you're awake: when you could talk without rushing. Be honest about commutes, gym, dinner with family and the hour before bed when you're no use to anyone.

For our example, on a normal weekday:

  • Ananya, Bengaluru: free 6:30 to 8:30 a.m. before work, and 7:00 to 11:30 p.m.
  • Josh, Toronto: free at lunch, 12:00 to 1:00 p.m., and 6:00 to 11:30 p.m.

Both are free most of the weekend.

Step 2: Convert one schedule into the other's time zone

Pick one city and convert everything into it. Until 31 October, Toronto is on daylight time (UTC−4) and India is on UTC+5:30 all year, so Bengaluru is 9½ hours ahead.

Ananya's free time, in Toronto time:

  • 6:30 to 8:30 a.m. Bengaluru = 9:00 to 11:00 p.m. Toronto, the evening before
  • 7:00 to 11:30 p.m. Bengaluru = 9:30 a.m. to 2:00 p.m. Toronto, the same day

Now lay Josh's free time over it:

  • His evening (6:00 to 11:30 p.m.) overlaps her early morning from 9:00 to 11:00 p.m. Toronto. That's two hours.
  • His lunch (12:00 to 1:00 p.m.) falls inside her evening: 9:30 to 10:30 p.m. Bengaluru. One hour, if he can step out.
  • At weekends, Toronto mornings are Bengaluru evenings: Saturday 8:00 a.m. to noon in Toronto is 5:30 to 9:30 p.m. in Bengaluru.

Notice the day shift. Josh's Sunday night call is Ananya's Monday morning. When you write a plan down, put the day in both places, or "see you Sunday" will go wrong at least once.

Step 3: Decide whose clock each call is anchored to

Every standing call has one person with a hard constraint and one with some give. Anchor the call to the person who can't move.

Ananya's morning call is fixed by her office start, so it's anchored to 7:00 a.m. Bengaluru, and Josh's side moves when the clocks change. The lunch call is fixed by Josh's break, so it's anchored to Toronto time, and Ananya's side moves. This one decision tells you in advance which of you absorbs a clock change.

Also check fairness over a week, not per call. If one person always takes the 6 a.m. or the midnight slot, rotate it.

A week built around the overlap

Here's their plan, before and after Toronto falls back. Times in bold are the anchors that don't change.

SlotToronto, until 31 OctBengaluru, until 31 OctToronto, from 1 NovBengaluru, from 1 Nov
Morning call, 45 min (Ananya's Mon, Wed, Fri)Sun, Tue, Thu 9:30 p.m.Mon, Wed, Fri 7:00 a.m.Sun, Tue, Thu 8:30 p.m.Mon, Wed, Fri 7:00 a.m.
Lunch call, 30 min (Wednesday)12:15 p.m.9:45 p.m.12:15 p.m.10:45 p.m.
Saturday date, 2½ hours8:30 a.m.6:00 p.m.7:30 a.m.6:00 p.m.

Two things the table makes obvious:

  • The lunch call gets late for Ananya. From November it ends at 11:15 p.m. her time, 15 minutes before her cut-off. They might swap it for voice notes until March.
  • Josh's Saturday gets earlier. A 7:30 a.m. start is fine for some people and a weekly ordeal for others. If it's the latter, re-anchor to 8:30 a.m. Toronto and let Ananya start at 7:00 p.m. instead.

On the other days they keep things asynchronous: a photo, a voice note, a message to wake up to. For how much contact to aim for, see how often long-distance couples should talk.

The autumn 2026 clock changes, and the shifted week

Clocks don't change on the same day everywhere, and some places don't change at all. As of 14 October 2026:

  • Australia (NSW, Victoria, South Australia, Tasmania, ACT): went forward on Sunday 4 October 2026, and go back on Sunday 4 April 2027. Queensland, Western Australia and the Northern Territory don't change.
  • UK: clocks go back at 2 a.m. on Sunday 25 October 2026. Most of Europe changes on the same night.
  • Most of the US and Canada: clocks go back at 2 a.m. on Sunday 1 November 2026, Toronto included. Arizona (outside the Navajo Nation) and Hawaii don't change.
  • India: no daylight saving, so all the movement comes from the other side.

That leaves one week, 25 to 31 October, when Europe has changed and North America hasn't. The gap for some common pairs, by date:

How far aheadNow (to 24 Oct)25 to 31 OctFrom 1 Nov
Bengaluru ahead of Toronto9½ h9½ h10½ h
Bengaluru ahead of London4½ h5½ h5½ h
London ahead of Toronto5 h4 h5 h
Sydney ahead of London10 h11 h11 h
Sydney ahead of Toronto15 h15 h16 h
Sydney ahead of Bengaluru5½ h5½ h5½ h

The same thing happens in spring, in reverse and for longer. The US and Canada go forward on 14 March 2027 (the second Sunday in March) and the UK on 28 March 2027, so for those two weeks London is only 4 hours ahead of Toronto again.

Rules that changed this year

Several places in Canada have dropped the autumn change. British Columbia has moved to permanent daylight time and won't fall back on 1 November. Recent reporting says Alberta and Manitoba are also staying on daylight time year-round. Ontario, Toronto included, still falls back on 1 November.

In the US, the House passed a bill to make daylight time permanent in July 2026, but the Senate hasn't passed it, so clocks still change on 1 November. If either of you lives somewhere whose rules are in flux, check your local government's page the week before.

Small things that make a big gap easier

  • Set a second time zone on your phone's clock or calendar. Most calendar apps can show two side by side, which stops the mental arithmetic.
  • Choose the city, not the abbreviation, when setting a time zone.
  • Protect sleep. In interviews with 14 people in long-distance relationships, researchers found that the bigger the time difference, the fewer hours couples had together. The one couple who shifted their sleep to widen the overlap weren't working, which isn't an option for most people. Better a shorter call at a sane hour.
  • Keep a fixed meeting place. If you always use the same video link (a Couch room, for example, keeps the same link every week), there's no new link to send before each call, and one less thing to get wrong at 6 a.m.

Key takeaways

  • Write down when each of you is genuinely free, convert one list into the other's time zone, and the overlap is your window.
  • Anchor each standing call to the person with the fixed constraint, so you know in advance who absorbs a clock change.
  • Always state times in both zones with the day, because one person's Sunday night is often the other's Monday morning.
  • In autumn 2026, Australia changed on 4 October, the UK on 25 October and the US and most of Canada on 1 November; India doesn't change.
  • Some Canadian provinces, including British Columbia, won't fall back this year, so check local rules the week before any change.

Frequently asked questions

What if we have no weekday overlap at all?

Make the weekend the anchor and keep weekdays asynchronous with voice notes and photos. In one interview study, a couple 10 to 12 hours apart with rigid work hours scheduled their video time on weekends.

Why do our calendar invites keep showing the wrong time?

Usually because someone typed a time zone abbreviation. IST can mean India, Irish or Israel Standard Time, and EST is wrong for Toronto for most of the year. Pick the city, such as Kolkata or Toronto, when you set the time zone.
